About the project
Project for Capacity Enhancement of Women Entrepreneurs in the Informal Economic Sector (financed by Japan International Cooperation Agency (JICA) aims to develop and pilot a Women Entrepreneurs Booster Package (WEBPA) to support women and transgender micro-entrepreneurs in the informal sector in Punjab Province. Activities include business incubation, financial access support, market linkage, and the development of strategies for nationwide scale-up. The Project works closely with the Small and Medium Enterprises Development Authority (SMEDA) as the executing organization.
Position Overview
We are seeking a competent, proactive, and well-organized Admin and Account Manager to support the day-to-day administration, accounting tasks, procurement, and logistics of project activities in Lahore and pilot site. The project spans five years, and contract extension may be offered depending on the coordinator’s performance, project requirements, and funding availability.
Key Responsibilities
1.Accounting task
- Payment of the invoices for the goods & services purchased for the project and getting necessary documents, such as receipt and quotation, based on JICA rule.
- Filing the Quotations, Invoices, Delivery Notes and Receipts in date order.
- Withdrawal from project bank account.
- Coordination of money exchange with reliable money changers for the Japanese experts.
- Instruct local staff on accounting procedures including necessary documents required by JICA rules
2. Procurement task
- Getting quotations for equipment for the project.
- Arrangement of the purchase of equipment for the project.
- Purchase of office consumable goods such as paper and stationary goods.
- Translation of the Quotations, Invoices, Delivery Notes and Receipts and supplementary comments for these documents.
- Reservation of car, security and hotels etc.
- Car reservation and necessary arrangement.
- Security reservation and necessary arrangement.
- Hotel reservation and necessary arrangement.
- Arrangement for domestic business trips
3.Management of working records
- Prepare, print out and get signatures of staff for working records
- Keep the signed working records in the safe place until Japanese experts take them
4.Any other tasks based on the requests of Japanese experts
- Making appointments with related organizations.
- Interpretation and translation of local language into English and vice versa.
- Preparation of meetings and workshops including printing/photocopying the materials for workshops & meetings.
- Making arrangements for goods and services necessary for project activities.
- Making necessary documents or letters according to the Japanese expert's direction.
- Maintenance of equipment in the office.
- Getting latest information about security in Pakistan and sharing the information to the Japanese experts.
- Any other tasks the Employer considers necessary for the project management. Any proposals to reduce cash transactions, improve office environment and increase staff productivity will be welcomed. Successful proposals and implementation will be taken into consideration for pay rise for the next contract.
